These Terms and Conditions govern your enrolment in and use of any ReelChess coaching program, including school programs, in-person group sessions, online programs, the ReelChess Academy online platform at academy.reelchess.com, and any associated materials. By enrolling in a ReelChess program, subscribing to the Academy platform, or making a payment to ReelChess, you agree to be bound by these terms. Please read them carefully before enrolling or subscribing.

These terms apply to the parent or guardian completing enrolment on behalf of a student, to the enrolled student, and to adult users who self-manage their own Academy account. References to "you" include the parent or guardian, the student, and the adult user where applicable.

1. Acceptance of Terms

By completing an enrolment, making a payment, starting an Academy subscription, or attending any ReelChess session, you confirm that you have read, understood, and agree to these Terms and Conditions in full. If you do not agree to these terms, you should not enrol in or attend any ReelChess program or use the Academy platform.

These terms constitute a binding agreement between you and ReelChess. We reserve the right to refuse or cancel an enrolment or subscription at our discretion.

2. Enrolment and Confirmation

Enrolment in a ReelChess coaching program is complete only when payment has been received and we have sent you a written confirmation via email. Attendance before receiving confirmation is not permitted.

To complete enrolment you must provide accurate details including:

  • Student full name and date of birth
  • School name and year group
  • Chess experience level
  • Parent or guardian name, email address, and phone number
  • Any medical or additional needs relevant to participation

You are responsible for ensuring all information provided is accurate and up to date. Failure to provide accurate information may affect your child's participation in the program.

Enrolment is personal to the enrolled student and cannot be transferred to another person without prior written approval from ReelChess.

3. Payment

All coaching program fees are due in full at the time of enrolment unless a specific arrangement has been agreed in writing with ReelChess. Program prices are listed inclusive of GST on our enrolment page. Academy subscription pricing is governed by Section 12.

Payment Methods

For coaching programs, we accept payment by card via secure WooCommerce checkout, direct bank transfer (BSB 067-873, Account 1212 0820, Account Name ReelChess), and PayPal (paypal.me/reelchess). Bank transfer is our preferred payment method and carries no surcharge. Academy subscription payments are processed by Stripe and accept all major credit and debit cards.

A card processing surcharge applies to coaching program payments made by card at checkout. The surcharge amount is calculated based on your order total and is displayed before you confirm payment. The surcharge reflects the cost of card processing and is non-refundable. Academy subscription pricing is inclusive of card processing costs and no separate surcharge applies.

For bank transfer payments, use your child's name and program name as the payment reference. Enrolment is confirmed once payment is received and verified.

ReelChess reserves the right to cancel an enrolment if payment is not received within 48 hours of the enrolment being submitted.

4. Refunds and Cancellations (Coaching Programs)

Important

This section applies to in-person and Zoom coaching programs only. Academy subscription refunds are governed by Section 12.4. No refunds are issued for missed sessions once a term has commenced.

The following cancellation policy applies to all ReelChess coaching programs:

  • Cancellation before term commencement: A full refund is available if written cancellation is received at least 7 days before the first session of the term.
  • Cancellation within 7 days of term commencement: A 50% refund is available if written cancellation is received before the first session of the term.
  • Cancellation after term commencement: No refund is available once the term has started. This applies regardless of the reason for cancellation, including illness, school commitments, or change of circumstances.
  • Missed sessions: No credit or refund is given for individual sessions missed by the student.
  • Sessions cancelled by ReelChess: If ReelChess cancels a session, a makeup session will be offered or a pro-rata credit applied at our discretion.

In exceptional circumstances, such as a serious illness requiring extended absence, we will consider requests for partial credit on a case-by-case basis. Contact admin@reelchess.com to discuss your situation.

Card processing surcharges are non-refundable under any circumstances.

5. Student Conduct

All students are expected to behave respectfully toward coaches, fellow students, and any venue staff. ReelChess is committed to providing a safe, inclusive, and positive environment for every student.

The following behaviour is not acceptable at any ReelChess session:

  • Bullying, harassment, or intimidation of any kind
  • Deliberate damage to equipment or property
  • Persistent disruptive behaviour that affects other students
  • Disrespectful conduct toward coaches or staff

ReelChess reserves the right to remove a student from a session or terminate an enrolment without refund if a student's conduct is deemed unacceptable, after a warning has been given except in cases of serious misconduct.

6. Online Sessions

For online coaching programs and the weekly Bonus Tactical Session, the following applies:

  • A device with a working camera and microphone and a stable internet connection is required
  • Students are expected to be in a quiet, supervised environment for online sessions
  • ReelChess is not responsible for technical difficulties on the student's end that result in missed session time
  • Online sessions are conducted via Zoom. You are responsible for ensuring Zoom is installed and working before the first session
  • Session recordings may be made for quality assurance purposes. You will be notified if any recording is to be shared externally

Zoom links and session access details are sent to the enrolled parent email address. It is your responsibility to ensure this email address is correct and that you check for communications from ReelChess before each session.

7. Photography and Media

ReelChess may photograph or film sessions for use on our website, social media, and promotional materials. By enrolling, you consent to your child appearing in such content unless you notify us in writing at admin@reelchess.com that you do not consent.

We will never publish identifiable images of students alongside their full name without explicit parental consent. If you have any concerns about how your child's image may be used, please contact us before enrolment.

8. Liability

ReelChess takes the wellbeing of all students seriously and implements reasonable safety measures across all programs. However, to the extent permitted by law:

  • ReelChess is not liable for any loss, injury, or damage suffered by a student during a program unless caused by the negligence of ReelChess or its coaches
  • ReelChess is not responsible for the loss or damage of personal belongings brought to sessions
  • ReelChess is not liable for any disruption caused by third-party service providers including Zoom, Stripe, Supabase, Hostinger, or payment processors

Nothing in these terms excludes any right or guarantee you have under Australian consumer law that cannot be excluded.

For in-person sessions at school premises, the school's duty of care obligations also apply during the session period. Parents are responsible for ensuring their child is picked up promptly at the end of each session.

9. Privacy

ReelChess handles all personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles. We collect personal information for the purpose of delivering our coaching programs, operating the Academy platform, processing payments, and communicating with families about their child's participation.

We do not sell personal information to third parties. Your information is only shared with trusted service providers necessary to operate our programs and platform, such as Stripe for payment processing, Supabase for backend services, Brevo for transactional email, and Zoom for session delivery.

10. Changes to Programs and Terms

ReelChess reserves the right to change program schedules, venues, coaches, and pricing between terms. We will provide reasonable notice of any significant changes that affect enrolled students. Academy subscription price changes are governed by Section 12.7.

We also reserve the right to update these Terms and Conditions at any time. The current version will always be available at reelchess.com/terms-conditions. Continued enrolment or subscription after an update constitutes acceptance of the updated terms.

If a coaching program needs to be cancelled by ReelChess for any reason including insufficient enrolments, a full refund will be provided for the cancelled program.

11. Contact and Disputes

These Terms and Conditions are governed by the laws of New South Wales, Australia. Any disputes will first be addressed through direct communication with ReelChess before any formal process.

12. ReelChess Academy Online Platform

This Section 12 governs your use of the ReelChess Academy online platform at academy.reelchess.com, including all subscription products. The terms in this section apply in addition to the general terms above. Where this section conflicts with an earlier section, this section governs for the Academy platform only. Sections 1 through 11 continue to govern all in-person and Zoom-based coaching programs.

The Academy platform supports two account types:

  • Parent or guardian account: a parent or guardian creates an account and adds one or more student profiles for children they are responsible for. Required for any user under the age of 13. Recommended for any user under 18.
  • Adult self-managed account: a user aged 18 or over creates an account for themselves with no separate student profile. The account holder is the learner.

By creating an account or starting a subscription, you confirm you are 18 years of age or older, or that you are the parent or guardian of any user under 18 listed on the account.

12.1 Subscription Plans and Recurring Billing

The Academy platform offers three access tiers:

  • Public tier: free forever, no payment method required.
  • Premium Single: $19 AUD per month, recurring monthly, for one user.
  • Premium Family: $39 AUD per month, recurring monthly, for up to 4 users in one household.

School subscriptions are governed by separate written agreements and are not covered by this section.

Recurring Payment Disclosure

By subscribing to Premium Single or Premium Family, you authorise ReelChess to charge your nominated payment method on a recurring monthly basis at the price stated above. Charges will continue automatically every month on the same date until you cancel. The first charge occurs at the end of any free trial period; subsequent charges occur monthly thereafter. All prices are in Australian Dollars and include GST.

You will receive an email receipt for each successful charge. You will receive an email notification before your free trial ends. You will receive an email notification if a charge fails.

12.2 Free Trial

New Premium subscriptions include a 7-day free trial. A valid payment method is required to start the trial. Your payment method will not be charged during the 7-day trial period. At the end of the trial, your payment method will be charged the standard monthly subscription fee unless you cancel before the trial ends.

You can cancel during the trial at any time from your account settings, and you will not be charged. The free trial is available once per customer.

12.3 Cancellation

You may cancel your Academy subscription at any time. Two ways to cancel:

  • Open your Account Settings on academy.reelchess.com and click "Manage Subscription," then "Cancel"
  • Email admin@reelchess.com from the email address on your account

When you cancel, your subscription remains active until the end of the current billing period. After that date, your subscription lapses and your account drops to the free Public tier. You are not charged any further amounts.

12.4 No Refunds for Subscriptions

Important — Academy refund policy differs from coaching

The coaching refund policy in Section 4 does not apply to Academy subscriptions. Academy subscriptions follow the policy below.

Academy subscription fees are non-refundable. Once a monthly charge has been processed, ReelChess does not issue refunds for that month, including in the following circumstances:

  • You forget to cancel before the trial ends
  • You do not use the platform during the paid month
  • You change your mind after subscribing
  • Your child loses interest in chess

If you have been charged in error, contact admin@reelchess.com within 14 days and we will investigate. Nothing in this section limits any non-excludable rights you have under Australian Consumer Law.

12.5 What Happens to Your Data When a Subscription Lapses

When a subscription lapses or is cancelled, your account is not deleted. You retain access to all free Public tier features. Premium-only features such as saved Game Reviews, Story Mode lessons, and certain advanced drills become unavailable until you resubscribe.

Your puzzle history, ratings, streak data, and account information are preserved. If you resubscribe within 12 months, your account resumes where it left off. After 12 months of inactivity, ReelChess may archive your account; contact us to restore it.

You may request deletion of your account and associated data at any time by emailing admin@reelchess.com. Deletion is permanent and cannot be reversed.

12.6 Failed Payments

If a recurring charge fails (for example, your card has expired or has insufficient funds), Stripe will automatically retry the charge over the following days and email you a notification. If all retries fail, your subscription will lapse and your account will drop to the free Public tier. You can update your payment method and resubscribe at any time.

12.7 Plan Changes

You may switch between Premium Single and Premium Family at any time from your account. Changes take effect at the start of the next billing period. You will not be charged a pro-rata adjustment for partial months.

ReelChess may change subscription pricing with at least 30 days written notice to existing subscribers. If you do not accept the new price, you may cancel before the new price takes effect and you will not be charged the new amount.

12.8 Acceptable Use

You agree to use the Academy platform only for its intended purpose of chess learning and improvement. You agree not to:

  • Use chess engines, computer assistance, or third-party software to generate moves during online play or rated puzzle solving
  • Create multiple accounts to inflate ratings, abuse free trials, or evade bans
  • Share your account credentials with anyone outside the household covered by your subscription
  • Attempt to access, copy, or redistribute platform content, source code, or databases
  • Use the platform to harass, threaten, or harm other users, including in chat features

ReelChess uses automated and manual systems to detect engine assistance and other abuse. ReelChess reserves the right to suspend or terminate accounts found to be in breach of these acceptable use rules. No refund is issued for accounts terminated under this section.

12.9 Children and Online Safety

The Academy platform is designed to be safe for children. The following protections apply to any account where the user is under 18:

  • Chat features in online play are filtered for inappropriate language
  • Direct messaging between users is not enabled
  • Profile photos are not displayed publicly
  • Real names are not shown publicly on leaderboards or in online play

Parents and guardians remain responsible for supervising their child's use of the platform. We recommend that parents review their child's account regularly. Concerns about another user's behaviour can be reported to admin@reelchess.com and will be reviewed promptly.

12.10 Service Availability

ReelChess endeavours to keep the Academy platform available 24 hours a day, 7 days a week. We do not guarantee uninterrupted access. Planned maintenance, third-party outages (such as Supabase, Stripe, or hosting providers), and unforeseen technical issues may cause temporary unavailability. ReelChess is not liable for losses caused by service interruption beyond our reasonable control.

If the Academy platform is unavailable for an extended continuous period, ReelChess may at its discretion provide a pro-rata credit or extended subscription period as a goodwill gesture.

12.11 Third-Party Services

The Academy platform uses the following third-party service providers, and your use of the platform is subject to their terms where applicable:

  • Stripe for payment processing. See Stripe's terms.
  • Supabase for backend services and data storage
  • Hostinger for web hosting
  • Brevo for transactional email

ReelChess selects providers we believe are reliable but is not responsible for their actions or outages. Personal information shared with these providers is governed by their privacy policies in addition to ours.
